Booking Terms & Conditions

These Booking Terms & Conditions apply to travel planning and booking services provided by Ace Travel. By authorizing Ace Travel to make a booking on your behalf, you acknowledge and agree to these terms.

1. About Ace Travel

Ace Travel specializes in luxury world and grand voyages and related travel arrangements.
Ace Travel is an independent agent of Fora Travel, Inc.
Florida Independent Agent Filing No. TI127916.

2. Your Agreement to These Terms

By asking Ace Travel to make or confirm a travel booking on your behalf, you agree to these Booking Terms & Conditions. 
By agreeing to these terms, you confirm that you are at least 18 years of age and have the legal authority to authorize this booking on behalf of yourself and any other travelers included in your reservation. 
If you are making arrangements for other travelers, you are responsible for ensuring that they are aware of and agree to the terms that apply to their travel arrangements.
Your booking will also be subject to the terms and conditions of the cruise line and any other travel suppliers included in your arrangements.

3. Our Role as Your Travel Advisor

Ace Travel acts as a travel advisor and intermediary between you and independent travel suppliers.

These suppliers may include cruise lines, airlines, hotels, tour operators, ground transportation companies, excursion providers, travel insurance companies and other travel service providers.

Ace Travel does not own, operate, manage or control these suppliers or the services they provide.

Each supplier is responsible for delivering its own services and may impose its own terms, conditions and policies.

4. Supplier Terms & Conditions

Your travel arrangements are subject to the terms and conditions of the suppliers providing your travel services.

For cruise bookings, this includes the cruise line’s applicable passenger contract or ticket contract.

Supplier terms may include important provisions concerning cancellations, refunds, itinerary changes, liability, medical requirements, passenger conduct and dispute resolution.

You are responsible for reviewing the terms provided by your travel suppliers.

5. Pricing & Availability

Travel prices and availability can change at any time until a reservation has been confirmed.

Quotes may include fares, taxes, port charges, fees and other costs based on the information available at the time the quote is prepared.

Promotions, fares, availability, exchange rates, taxes and supplier fees may change without notice.

Ace Travel will make reasonable efforts to provide accurate pricing and information but reserves the right to correct genuine errors or omissions.

6. Deposits & Final Payments

Deposits and final payment deadlines are determined by the applicable travel supplier.

Your reservation may be canceled by the supplier if required payments are not received by the applicable deadline.

Ace Travel will provide payment deadlines communicated to us by the supplier, but travelers remain responsible for ensuring required payments are made on time.

7. Changes, Cancellations & Refunds

Changes and cancellations are subject to the policies and penalties of the applicable travel supplier.

Cancellation penalties can increase substantially as the departure date approaches and may eventually reach 100% of the booking cost.

Some fares, deposits, promotions and other travel arrangements may be non-refundable from the time of booking.

Any refund due is subject to the supplier’s terms and processing timelines.

Ace Travel cannot guarantee that a supplier will approve a refund, credit, change or exception outside its published policies.

8. Travel Insurance

Ace Travel strongly recommends purchasing comprehensive travel insurance appropriate for the cost and nature of your trip.

Travel insurance may provide coverage for circumstances including trip cancellation or interruption, medical emergencies, evacuation, travel delays and lost or delayed baggage, depending upon the policy purchased.

Insurance policies contain limitations, exclusions and eligibility requirements. Coverage is determined solely by the insurance provider under the terms of the applicable policy.

If you choose not to purchase travel insurance, you accept the financial risks associated with traveling without that protection.

9. Passports, Visas & Entry Requirements

You are responsible for ensuring that you have all documents required for your journey.

These may include:

  • A valid passport
  • Visas
  • Entry or transit authorizations
  • Required health documentation
  • Any other documentation required by governments or travel suppliers

Passport validity requirements vary by destination, and many countries require passports to remain valid for a specified period beyond the end of your trip.

Ace Travel may provide information or resources to assist with travel preparation, but requirements can change without notice. Travelers are responsible for verifying current requirements and ensuring they are eligible to enter every destination and transit point on their itinerary.

10. Health & Medical Requirements

Travelers are responsible for determining whether they are medically able to undertake their planned journey.

Destinations and travel suppliers may impose health, vaccination, testing or documentation requirements.

Because these requirements can change, travelers are responsible for checking applicable requirements before departure.

Ace Travel does not provide medical advice.

11. Accuracy of Traveler Information

You are responsible for providing complete and accurate traveler information.

Names must match the traveler’s passport or other required identification exactly.

You should carefully review booking confirmations and travel documents as soon as you receive them and notify Ace Travel promptly if anything appears incorrect.

Any fees or additional costs resulting from inaccurate information supplied by the traveler may be the traveler’s responsibility.

12. Accessibility & Special Requirements

Please tell Ace Travel as early as possible about accessibility needs, mobility requirements, dietary requirements or other special requests that may affect your travel arrangements.

Ace Travel will communicate relevant requests to suppliers where appropriate but cannot guarantee that a supplier or destination can accommodate a particular request.

Travelers are responsible for determining whether accommodations, transportation, excursions and destinations are suitable for their individual needs.

13. Itinerary Changes

Travel itineraries are subject to change.

This is particularly important for world and grand voyages, where weather, port conditions, operational requirements, political conditions and other circumstances may affect an itinerary over several months.

Cruise lines and other suppliers may change ports, arrival or departure times, routes, ships, accommodations, excursions or other elements of a journey.

Such changes are governed by the applicable supplier’s terms.

Ace Travel is not responsible for itinerary changes made by a travel supplier.

14. Events Beyond Our Control

Ace Travel is not responsible for delays, cancellations, changes, losses or additional expenses caused by circumstances outside our reasonable control.

These may include severe weather, natural disasters, epidemics or pandemics, acts of government, war, terrorism, civil unrest, strikes, labor disputes, port closures, transportation disruptions or other extraordinary events.

The rights and remedies available to travelers in these circumstances will depend upon the applicable supplier contracts, insurance policies and law.

15. Independent Travel Suppliers

Travel services are performed by independent suppliers and not by Ace Travel.

To the extent permitted by law, Ace Travel is not responsible for the acts, omissions, errors, delays, failures or negligence of independent travel suppliers.

Nothing in these terms is intended to waive any rights that cannot legally be waived.

16. Traveler Conduct

Travelers must comply with applicable laws, regulations and supplier rules while traveling.

Cruise lines and other suppliers may refuse transportation, boarding or continued participation when permitted under their own terms.

Ace Travel is not responsible for a supplier’s decision to deny or terminate services because of traveler conduct or failure to comply with applicable requirements.

17. Air Travel

When flights form part of your travel arrangements, airline schedules, routes and equipment may change.

Seat assignments, baggage allowances, flight schedules and other airline services are controlled by the airline and cannot be guaranteed by Ace Travel.

Air transportation is also subject to the airline’s own contract of carriage.

18. Payment Authorization

By authorizing a travel purchase, you authorize the applicable charges associated with your approved travel arrangements.

Travel charges may be processed by Fora Travel, the travel supplier or another authorized payment processor rather than Ace Travel directly.

19. Payment Disputes & Chargebacks

If you believe a travel charge is incorrect, please contact Ace Travel promptly so we can investigate the issue with the applicable supplier or payment processor.

Cancellation penalties and non-refundable charges that were properly disclosed and authorized remain subject to the applicable supplier’s terms.

Nothing in these terms limits any rights you may have under applicable consumer or credit-card laws.

20. Errors & Omissions

Ace Travel takes reasonable care to provide accurate information.

However, travel information can change quickly, and occasional errors may occur in quotations, communications, website content or travel documentation.

Ace Travel reserves the right to correct genuine errors or omissions when discovered.

21. Limitation of Liability

To the fullest extent permitted by applicable law, Ace Travel will not be liable for losses arising from the acts or omissions of independent travel suppliers or from circumstances outside Ace Travel’s reasonable control.

Nothing in these Booking Terms & Conditions excludes or limits liability where doing so would be prohibited by law.

22. Problems During Your Journey

If you experience a problem while traveling, please notify the appropriate travel supplier and Ace Travel as soon as reasonably possible.

Reporting problems promptly gives the supplier and Ace Travel the best opportunity to assist while your journey is underway.

23. Governing Law & Disputes

These Booking Terms & Conditions are governed by the laws of the State of Florida, without regard to conflict-of-law principles. Any dispute arising from these terms will be resolved in the state or federal courts located in Pinellas County, Florida. 

Individual travel services may also be subject to governing-law and dispute provisions contained in supplier contracts.

24. Changes to These Terms

Ace Travel may update these Booking Terms & Conditions periodically.

The terms applicable to your booking will be those provided or made available in connection with your booking, subject to any applicable supplier terms.
